How we use conference information

Information we collect

Registration, meal, and shirt-order forms may collect purchaser and attendee names, preferred names for name tags, email addresses, city and state, organizations, conference-day selections, meal choices, dietary or allergy notes, shirt orders, pickup plans, complimentary-registration status, payment status, and order identifiers. Student poster-session information may also be collected when it is submitted.

How the information is used

We use this information to process registrations and payments, manage attendance and meal capacity, prepare check-in and meal lists, administer refunds, respond to questions, and send important conference information.

Service providers

Stripe processes payments through its secure hosted checkout; this conference website does not collect or store card numbers. Major credit and debit cards are accepted, and Stripe may offer supported digital wallets. Charges will appear on card statements as ELGG* REGEN AG 2027. Registration records may be maintained in secure Google Sheets for authorized conference organizers. Constant Contact may be used to send registration-related conference updates and reminders.

Cloudflare Web Analytics measures visits, page views, traffic sources, general device and browser categories, and website performance. It is a privacy-first analytics service that does not collect or use visitors' personal data.

The site also keeps aggregate daily counts of page views, links and buttons used, traffic sources, countries, device types, operating systems, and browsers so organizers can improve conference information. These counts do not include names, email addresses, IP addresses, raw browser details, or individual visitor profiles.

Email preferences

After a paid or complimentary registration is completed, purchaser and attendee names and email addresses are added to the RegenAgWeekend2027 Constant Contact list for conference updates and reminders. Incomplete or expired registrations are not added. Existing Constant Contact unsubscribe preferences are preserved.

A separate, optional registration-form checkbox allows purchasers to ask for broader updates about East Lyme Giving Garden events and next year's Regen Ag Weekend. Messages sent through Constant Contact include the available preference or unsubscribe controls.

Sharing, access, and retention

The East Lyme Giving Garden does not sell conference registration information. Access is limited to authorized organizers and service providers supporting the conference. Information is retained only as reasonably needed for conference administration, financial recordkeeping, and legal obligations.
